Why do my emails go to spam?

The most common cause in India is missing email authentication. Gmail and Outlook check three DNS records before deciding where to put your mail: SPF, which lists the servers allowed to send as your domain, DKIM, which cryptographically signs each message, and DMARC, which tells receivers what to do when those checks fail. If any are missing or misconfigured, your invoices and quotations are far more likely to land in spam.

What is SPF?

SPF is a DNS record listing which mail servers may send email on behalf of your domain. Without it, a receiving server has no way to tell your real mail from a forgery. A common mistake is having two SPF records, which is invalid and causes SPF to fail entirely, or leaving it ending in +all, which authorises the whole internet to send as you.

What is DKIM and why is mine missing?

DKIM adds a cryptographic signature to every outgoing message so the receiver can verify it was genuinely sent by you and was not altered in transit. On Google Workspace it is not switched on by default. An administrator has to generate the key in the admin console and publish it in DNS, and a great many businesses never do, so their mail goes out unsigned without anyone noticing.

What does DMARC actually do?

DMARC tells receiving servers what to do with mail that fails SPF and DKIM: nothing (p=none), send it to spam (p=quarantine), or refuse it (p=reject). A policy of none is monitoring only and stops nothing. Until you are at quarantine or reject, anyone can send email that appears to come from your domain.

Can I check a domain that is not mine?

Yes. Everything this tool reads is public DNS, the same information any mail server checks every time it receives a message from that domain. There is no login and nothing private is accessed.

It says a record could not be checked. What does that mean?

Accepted Answer

It means the DNS lookup did not complete, not that the record is missing. We deliberately separate the two, because telling you that SPF is absent when the query simply timed out would be worse than saying nothing. Try again in a moment.
